Getting there
- Sign in at ops.rubesky.com with your phone number.
- Tap the purple Admin tile, then Task List Editor.
Only admin accounts can open the editor. Changes are live for the crew on their next page load — nothing to deploy.
Create a checklist
- Tap New list.
- List ID — short handle like
daily-opening. Permanent — can't be changed later. - List name — what employees see. Change anytime with Rename.
The list shows up on the crew's checklists page as soon as it has tasks.
Add a task
Pick the list, tap + Add task, and work down the form:
- Description — what to do, in the words the crew should read.
- Task ID — fills in automatically. Permanent once saved (history, photos, and dependencies are keyed to it), so only adjust it before the first save.
- Group — the section header it appears under (Opening, Closing, All Day…).
- Repeats — every day, weekly (pick weekdays), monthly by date (29–31 land on the last day of short months), or monthly by weekday — like the 2nd Tuesday or last Friday of each month. The task only appears on its scheduled days.
- Time of day —
- No specific time — a normal task, any time that day.
- Due by a time — shows a ⏰ badge and turns red once the time passes.
- Multiple times a day — e.g. temps at 10:00 / 14:00 / 18:00; each time is its own check-off. (These can't be used as dependencies — mid-day, "done" is ambiguous.)
- What the employee records — check off, Yes/No, text, or number. Numbers can carry a min–max range: out-of-range entries still save but get flagged ⚠️ on the checklist and the Task Review page.
- 📷 Photo proof — requires a photo (opens the camera) before completion.
- Must be done after — tick the tasks that must be finished first; the crew sees 🔒 until they are. Circular chains are caught at save.
Edit, reorder, delete
- Edit — everything except the Task ID can change; clearing a field takes effect immediately.
- Reorder — ▲/▼ on a task moves it within its section; ▲/▼ on a section header moves the whole section. To move a task to another section, edit its Group.
- Delete a task — blocked while other tasks depend on it. Past completions stay in the day history.
- Delete a list — type the list ID to confirm. Day history and the change log are kept.

The change log
Bottom of the editor. Every change — adds, edits, deletes, reorders, CSV imports — is recorded with who, when, and exactly what changed (old → new). Switch between This list and All lists. Entries can't be edited or deleted, and they survive list deletion.
Bulk setup via CSV
Checklist Import (on the Admin menu) still works for building a big list from a spreadsheet in one go — the column reference is on that page. Re-importing an old spreadsheet won't wipe schedules or ranges set here in the editor, and every import is logged in the change log.
Things worth knowing
- New tasks show a NEW badge to the crew for 7 days.
- Weekly/monthly tasks are hidden on days they're not scheduled; history always shows what was actually recorded, even if the schedule changed later.
- Undo on a completed task is refused while a task that depends on it is still completed.
